Scheduling and Booking of Facilities
The project Coordinated Scheduling and Room Booking is implemented in two phases.
Phase 1 – implementation 2024
15 August – Booking of conference, meeting, and group rooms is now accessible via the resource booking tab in KronoX for all staff outside the faculties. Staff outside the faculties are not authorised to book any teaching rooms.
4 November – Implementation of rules for booking of facilities. These include deadlines for scheduling and booking of facilities. Only appointed bookers in Professional Services can book facilities with 65 seats or more.
The implementation of phase 2 is dependent on the outcome of phase 1
Common lead time
In order to achieve the most efficient scheduling process and to enable simultaneous booking of rooms for all major courses within a study period, the following dates apply.
Study period 1 (LP1) – First half of the autumn semester
(Includes all courses starting at the beginning of the semester)
Week 6 - Submission of documentation for scheduling of teaching rooms with 65 seats of more.
Week 6- week 11 - Scheduling period (main bookers)
Week 12 – Schedule available for revision. All staff within the faculties can now book rooms with a capacity of up to 64 seats.
Week 13 - Any changes are made by the main bookers
Week 13 – Scheduling completed
Study period 2 (LP2) – Second half of the autumn semester
Week 14 - Submission of documentation for scheduling of teaching rooms with 65 seats of more.
Week 15- week 21 - Scheduling period (main bookers)
Week 22 - Schedule available for revision. All staff within the faculties can now book rooms with a capacity of up to 64 seats.
Week 23 - Any changes are made by the main bookers
Week 23 - Scheduling completed
Study period 3 (LP3) – First half of the spring semester

Week 39 - Submission of documentation for scheduling of teaching rooms with 65 seats of more.
Week 39- week 44 - Scheduling period (main bookers)
Week 45 - Schedule available for revision. All staff within the faculties can now book rooms with a capacity of up to 64 seats.
Week 46 - Any changes are made by the main bookers
Week 46 - Scheduling completed
Study period 4 (LP4) – Second half of the spring semester
Week 48- Submission of documentation for scheduling of teaching rooms with 65 seats of more.
Week 48- week 2 Scheduling period (main bookers)
Week 2 - Schedule available for revision. All staff within the faculties can now book rooms with a capacity of up to 64 seats.
Week 3 - Any changes are made by the main bookers
Week 3 – Scheduling completed
Study period (LP5) – Summer semester
Week 14 - Submission of documentation for scheduling of teaching rooms with 65 seats of more.
Week 15 - Scheduling period (main bookers)
Week 16 - Schedule available for revision. All staff within the faculties can now book rooms with a capacity of up to 64 seats.
Week 16 - Any changes are made by the main bookers
Week 17 - Scheduling completed
