Team owner

The person responsible for the information within each team is the team owner.

The team owner is the one who adds members to the team and thereby grants them right. To make administration easier, it is recommended to have two team owners per team. Everyone in the team has access to all the information within the team. However, underlying channels can be limited to fewer individuals than those included in the team.

The files uploaded to a team or channel can be accessed by all the members of the respective team or channel.

Team member or guest

As a member of a team, whether belonging to the University of Borås or invited as a guest, one is responsible following the rules that the university has regarding the storage and handling information.

If a team member leaves the team, the person will be removed from the team, but all posts, comments will remain.

For teams that have been inactive for one year, a request to review whether the team should remain active or be deleted will be sent to the team owner. When a team is deleted, all information disappears.

If you are using a university computer, you can find Teams via Start > HB > Office Applications > Microsoft Teams.

If you don't have Microsoft Teams installed on your personal computer, you can download Office365 through the Microsoft365 download link (external link).

• Log in with your student e-mail address (Sxxxxx@student.hb.se) and password
• Click on Install apps

• The installer will now download and you can then install it on your computer.

1. Go to teams.hb.se
2. Enter your student email, Sxxxxxx@hb.se and click Next
3. Enter your password and click Sign in

Go to the Appstore(iPhone) or Google Play(Android):

1. Launch the Appstore on an iPhone or Google Play on an Android.
2. Search for Microsoft Teams
3. Click Install
4. Start the Teams app
5. Log in with your student email

In Teams you can start a chat with one or more users. See the steps below to start a chat.

1. Go to the Chat tab
2. Click on the pen icon.
3. Enter the user you want to chat with in the field and select (You can add more people by entering several names in the field)

1. Click on the Calendar tab in the menu
2. Click on Meet now
3. Enter the name of the meeting room
4. Click on Start meeting
5. Select whether you want to activate the microphone and camera via the controls.
6. Click on Join now
7. Select Copy meeting link if you want to send the link manually.
8. 
9. Select Add participants if you want to invite the user directly to the meeting via Teams.
10. Enter the user's name in the field and click on request to join to invite the participant to the meeting.

1. Click Calendar and then New meeting
2. Fill in information about the meeting such as title, participant, date.
3. You can also click on Scheduling assistant to see if the participants are busy.
4. 
5. You can see via the scheduling assistant when the meeting participants are busy. Via the slider, you can move the meeting to suit everyone invited.
6. Click on Send

There are certain criteria's you need to keep in mind when creating a team:

• Agree with the group that you create the team for you to use as a collaboration area and how your way of working should be.
• Remember to build a good and clear folder structure for the files you upload to the team.

Private or public team

The default setting for a team is that the team is private, which means only those who are added as members can participate in the team. This setting should only be changed after thorough consideration, as public teams mean that anyone can join the team and take part in all the information contained in the team and also in the underlying channels.

1. Click on Teams in the menu on the left
2. Click Join or create a team
3. Click Create Team

If you are the owner of a team, you can add members to the team.

1. Start Teams
2. Go to the Teams tab
3. Click on the three dots to the right of the team you want to invite the user to
4. Click Add Member

Notifications is disabled as default in a team, which means you have to activate this to receive notifications.

2. Click on Team in the menu to the left
3. Click on the three dots next to the team you want to activate notifications on
4. Select Channel notifications and click on All activity
