Send information for archiving
The university has centralised archiving. This means that all information that should be preserved must be transferred to the central archive at the Archives & Registrar’s Office when it is no longer needed.
Instructions on how to send information to the archive can be found in the information management plan. You, as an employee, are responsible for sending information for archiving. Different types of information are archived in different ways:
- E-archive: Mainly archiving information from operating systems, but also some individual documents, e.g. course info, DiVA and the university's website.
- Paper archives: The amount of paper documents has steadily declined in recent years, but some documents are still archived in paper form e.g.protocols, diplomas.
- Registration in W3D3/Finn: Used for archiving cases where there are high requirements for searchability and follow-up, e.g. agreements, decisions, referrals, and certain types of student affairs.
Archiving of research material
Research material must be archived in accordance with the document management plan for research documents. Delivery must be preceded by contact with the university archivist.
